What is EDI 204?

The EDI 204 Motor Carrier Load Tender is a type of electronic data interchange transaction set that is shippers send to carriers, which serves as an offer for the carrier to move specific cargo. The EDI 204 contains details about the proposed shipment such as pickup date and time, pickup location, delivery date and time, delivery location, equipment requirements, type of cargo, and special instructions or requirements.

After receiving an EDI 204, the carrier can respond with an EDI 990 (Response to a Load Tender) to accept or reject the load tender, and further coordinate the shipment details through additional EDI transactions.

This electronic document complies with the ANSI X12 EDI specification.

Benefits of the EDI 204

All EDI documents are securely encrypted in transit, allowing trading partners to send sensitive data safely. By leveraging the EDI 204 Motor Carrier Load Tender and other EDI transactions, companies in the transportation and logistics sector can achieve greater operational efficiency, accuracy, and competitiveness.

Improved Efficiency

The automation of load tendering processes reduces the need for manual data entry, paperwork, and phone calls. This leads to faster processing times and allows staff to focus on more critical tasks.

Enhanced Accuracy

By minimizing manual intervention, the likelihood of errors due to mistyped information or miscommunication is significantly reduced. This improves the accuracy of shipment details, leading to smoother operations.

Better Tracking and Visibility

The use of EDI transactions, including the 204, allows for better tracking of shipments and clearer visibility into the logistics process. This can lead to improved logistics planning and execution.

Faster Communication

EDI 204 enables instant electronic communication between shippers and carriers. This rapid exchange of information speeds up the process of tendering loads and receiving responses, allowing for quicker decision-making.

How is an EDI 204 Used?

The EDI 204 Motor Carrier Load Tender is used in the logistics and transportation industry as part of the Electronic Data Interchange (EDI) system to facilitate the tendering of freight shipments from shippers to carriers

Preparation and Sending by Shipper:

The shipper prepares the EDI 204 document, which includes all necessary details about the shipment such as pickup and delivery locations, dates and times, type and quantity of goods, special handling requirements, and equipment needed. The EDI 204 is then sent to the carrier, proposing the carrier to move the shipper’s freight.

Reception and Review by Carrier:

Once the EDI 204 is recieved, the carrier reviews the load tender to determine whether they can fulfill the requirements, such as availability of equipment, compatibility with their routes, and schedule feasibility.

Response to Load Tender:

The carrier responds to the shipper with an EDI 990 (Response to a Load Tender), indicating acceptance or rejection of the tendered load. If the tender is accepted, the carrier may follow up with additional EDI documents for further coordination, like the EDI 210 (Motor Carrier Freight Details and Invoice) to bill the shipper post-delivery.If the tender is rejected, the shipper may need to amend the tender details or select a different carrier.

Load Pickup and Delivery:

Upon acceptance, the carrier schedules and conducts the pickup of the freight as detailed in the EDI 204.The carrier then transports the freight to the specified delivery location by the agreed-upon date and time.

EDI 204 Motor Carrier Load Tender

EDI 204, known as Motor Carrier Load Tender, is structured around a set of standard segments and elements defined by the American National Standards Institute (ANSI) X12 format. These specifications outline how to communicate the acceptance, rejection, or processing of a previously sent transaction set. The specifications ensure consistent and efficient exchange of information between trading partners across various industries.

ANSI ASC X12

The American National Standards Institute (ANSI) chartered the Accredited Standards Committee (ASC) X12 to develop uniform standards for inter-industry electronic exchange of business transactions, namely electronic data interchange. ASC X12 also contributes to UN/EDIFACT messages that are used widely outside of the United States. https://www.x12.org
